Visitors of all ages, can compliantly check-in, in a few simple taps. All visitor details are kept private, secure and encrypted. Personal information is not publicly visible.
Keep an accurate record of your staff arrival/departure times via our advance staffing feature. Staff can simply check-in with a few taps. You can also export the data instantly to help assist with payroll. Staff are able to check-in with a barcode/QR code, simply by presenting it to the iPad device camera.
The online encrypted dashboard allows your reception teams to have a clear, real-time view of who's present within your facilities. The dashboard provides you with a wealth of information, analytics and statistics. All data can be securely exported as a CSV spreadsheet file. Emails & Notifications
Visitors will automatically receive a welcome email, that can include your Fire, Health & Safety documents attached. Your building residents/employees will also receive an automated notification email alerting them that their visitor has arrived. A customisable check-out email, thanking your visitors can also be sent.
Fire & Evacuation Mode
The e-Reception Book includes a fire, evacuation mode that provides your reception team with a digital, accurate list of visitors within the building. Improve your building risk assessment and conduct a more efficient and effective fire-role call. In the event of a Wi-Fi outage, the e-Reception Book will continue to work offline.
Allow your visitors to sign documents, upon check-in, directly on the iPad screen. For example NDA’s, contractor disclaimer forms etc. Simply upload your PDF document to be signed via the e-Reception Book dashboard.
Your reception team and building residents can pre-register visitors, allowing them to check-in even faster. Automatically send pre-registered visitors an email invite. The invitation contains the date and time of the visit, who they are meeting and a QR code for scanning on arrival.
QR Express Check-in
With our express check-in, visitors (and staff) can quickly check-in and out, simply by presenting a QR code or barcode to the iPad device camera.
Connect a compatible Brother printer for simple and fast visitor badge printing, as your guests sign in. The printer works automatically, wirelessly and only takes a few seconds to print each badge. Badges can be branded and customised to your requirements.
GDPR 'Opt-in' Compliance
The solution keeps personal data secure, private and confidential. Data is securely stored, encrypted on UK servers. Set your own data retention rules, supporting GDPR's 'Right to be forgotten'. Customise and present your policies and terms. All visitor data captured is ‘Opt-in’ consent driven.
Dynamic Visitor Categories
Add up to six visitor category types. All categories can be individually customised, including a welcome email that is bespoke to the specific visitor type.
Be provided with instant visitor feedback using the e-Reception Book's emoticon review feature. Provide pro-active customer service.
Residents are able to be check-out using the tablet device. They can also provide information to why they are checking-out, for example, going to the doctors. Residents can check-in upon their return.
As a visitor checks-out on the iPad device, they are able to provide ratings against KLOE, using our simple smiley face system. These convert to a 1-5 rating and can be presented to a CQC Inspector. KLOE stands for “Key Lines of Enquiry” and covers the various different areas, which the CQC will investigate.
